I know ALL-IN-1 mail is not as "sexy" as other modes of communication,
but I used to have the same problem until the system managers for the
NEMAIL cluster put in a feature that allows us to type:
R (RN) to read (new) messages, with the distribution list hidden
RDL to read the distribution list only
RDIS to read both
P to print the message without the distribution list
PDIS " " with " "
I hate to suggest that there are actually solutions to problems, but
occasionally that is my experience. This solution, however, does not
FULLY solve the problem of ALL-IN-1 mail messages that have been
"multiple forwarded"; I don't have to wade through the distribution
lists, but I still get all the headers. Still an improvement.
While I have the floor, I thought I'd complain about the UUCP users
who insist on impressing evryone in the notesfiles by including
27 lines of: joe!fred!sam!willie!shwq!wqewe!ihnpom!asdas!bzxc!
addressing before their note. If it's of any value, please edit
it to the bottom; if not, please edit that stuff out.

I have several questions, perhaps best put into some mail
related notes files:
What percentage of mail readers actually need the distribution
list? Hiding it is just a work around for those who don't need
it. I suspect that less than 5% of the readers ever look at
the distribution list. How about a hierarchical model for
storing associated mail data that obviates the necessity for
needless replication of LOTS of redundant data? How about NOT
sending data at all, just notification with retrieval
pointers. Or just sending the actual data (what was being
communicated) with retrieval pointers for distribution lists?
Not only do these out of control distribution lists waste lots
of human time but chew up a large amount of network bandwidth,
not to mention disk storage space. Ultimately this is a
problem the solution of which will more than pay for itself.
The problem is that we are creating a system the model for
which is based on the physical transfer of paper. We have not
exploited the effects that a network with its associated
network services can have on the solution.

Ed, I think your point is well-taken. HOWEVER, in the future
(here I'm putting on my moderator hat), PLEASE don't post such
a low-information-content note. You could easily have made
your point by DESCRIBING the mail message, instead of posting
all several-hundred lines of it here. I thank you, and I'm
sure all our batch-extract-to-mail readers thank you (and all
others) for your future consideration.

Excellant idea! Its called DECmail. I never thought I would see
the day that I had ANYTHING good to say about DECmail, but it sure
had All-or-none beat.
In DECmail, there was a problem with forwarding headers, but all
references to distribution lists were in the form of the distribution
list name, rather than its contents.
Unfortunately the nightly maintenance of the pointer system you
described sometimes took more than 24 hours to reorganize, which
had to be done nightly or response time reached negative numbers.

of all in one does have a redeeming feature............
You can have all your mail forwarded to VMS MAIL, then you don't
have to worry about even entering ALL-in-NONE.....:-)

There is an advantage to including the distribution list in full. (That's right, I know of only one.) If you think someone might be interested in the item you just received, you can check the distribution list to see if someone up the line has already sent it. Of course, someone else could have sent it so even that is not a strong advantage. The really bad part is that the distribution list is put at the beginning in some cases and at the end in others. If it was always up front, skipping to the end of the message and reading backwards would work (where you have an editor like reader available). If it was always at the end, then you could skip when you got past the good part. The current mess is just about the worst combination. | |||||

To Dr. Blinn and moderators all... I had some misgivings about starting this note in this forum. My reason for doing so was because I feel that the state of the electronic interpersonal communication technology as used by us here at Digital is severely lacking in some areas. As a mater of fact some things have become an impediment to communication while absorbing a larger and larger share of communication bandwidth and system resources. I as I'm sure many others have, have been going along believing that we here at Digital are in the process of defining the way corporations will communicate in the future. (This particular communication medium is an example of the reason for my belief) It is the steady degredation in the mail products, coupled with a lack of vision for the future which concerns me and gives me concern for the way we work and for our ability to sell our vision to our customers. Thus my decision in favor of this forum. As for the .1 reply... They say 1 picture is worth a thousand words. In this case a thousand words WAS the picture. Since not everyone uses ALL-IN-1 to read their MAIL (some people
don't even have ALL-IN-1 access, others choose to have the mail
delivered via VAXmail), it's reasonable to want a better method of
displaying distribution lists. It's not difficult to enhance the
"vanilla" ALL-IN-1 system to give you the choice of seeing the
list expanded or not. Of course, VAXmail lets you read your mail
with an editor, and the editor can skip over distribution lists
fairly quickly.
I agree with your point that .1 doesn't communicate anything very
useful, which I suppose was the point -- that the signal to noise
ratio is very low in that message.

There's another very important reason to send the distribution
list, related to the reason already cited. It's polite.
If I send out a memo which takes a strong position on an issue,
and one of the recipients dissents from my opinion, then the
recipient can only respond to the entire distribution if I've
made it obvious who the entire distribution is. One way to do
that is to include the distribution list in a form that is
useable by anyone. Using this rule, then
TO: @JERKS
probably doesn't qualify since it doesn't provide enough information
to find the JERKS.DIS file. Similarly
TO: BEANNIE, CECIL
probably doesn't qualify either, unless those are valid usernames
on the local system. If they're SYMBOLS, then more information is
needed to translate the symbols.

There are a number of protocols that help everyone when used in electronic
MAIL. It does not matter if it is DECmail, AI1, or VAXmail. These are things
that I try to do most of the time.
(is there or should there be an "Electronic mail etiquette conference"?)
A lot of these suggestions are directly related to VAXnotes etiquette
and can be applied to MAIL.
1. If you send it to a distribution list ..include it.
The end of the message is preferable.
I like to know who else got the info so I don't forward
a copy to them again.
2. If you are sending to multiple persons (possibly a distribution list)
and you are asking someone to do something , state exactly WHO you
expect to do it.
When I receive a message that has been sent to many people
and it is not obvious that I'm the only person that can handle
the request, I usually ignore it figuring that someone else
will do it or the originator will send it again and be more
specific.
3. Use meaningful subject lines.
FYI gets looked at last (Unless it's from my immediate manager
or above)
HI! get's ignored most often ( again depends on who it's from)
Using subjects that are meaningful helps to file them or take
action on them.
Examples:
Subject: You should handle this - re:FOOBAR project
Subject: FOOBAR cancellation
Subject: FYI - FOOBAR
Subject: Latest status - FOOBAR
4. Spell check your message before you send it.
Makes you look good.
5. Don't say things in mail that you wouldn't say to the persons face!
6. Use a batch mail facility if possible. That tends to help get the
message there.
7. Don't assume that your message has been read. If it's really that
important - call and be sure the person can or will read it.
8. When forwarding messages tell the originator you did it or even
ask permission before.
9. When replying (I think this only happens in AI1 mail) be sure you
know WHO is going to see the reply.
I receive replies to AI1 mail that say "OK" and it's
been received by 40 bazillion people around the world.
10. Be aware that you can get mail from ANYWHERE!
Sometimes you have to realize that the person sending may have
a difficult time with your favorite language. Be patient
and helpful.

There are times when this is *not* a good idea. I doubt if the ~3000
people on my mailing list would appreciate getting everyones name.
Likewise, I'm not interested in the much larger list of names on
the VNS mailing list. Other larger mailing lists (VMSINTEREST, etc)
should also not do this. I really don't think this is practical
for lists of any real (>25 ?) size.

Good point - the size has to be considered. I don't get into
distribution lists that large very often. When I have a list
of greater than about 25 (I think that's a good guideline) I
indicate what groups have been included in the distribution list
rather than the individuals and offer to send the complete list
to anyone that asks.
I also try to format the distribution list as follows
(this is oriented towards VAXmail.

This make the list a little more useful by giving more than just
the address.

I can't count the times I've received MANUALS (not short ones, but
several hundred pages!!!) over DECmail, VAXmail and/or ALL-IN-1.
I usually delete them then call the senders with a few gruff words.
It's probably the *only* time I've missed the old EMS system --
it had a three page maximum.

I'd like to add another:
when sending memos (or "manuals" :-) in PostScript (�, Adobe Systems,
Inc.) please don't add a prefix explanation in plain text ("ASCII").
Adding it forces me to extract and then edit the file in order to
print it. Either just include the info in the subject (so
extract/noheader works), or send a preliminary messages separately, or
include the plaintext as PostScript comments (%%).

immediately following there'll be at least one message in all caps
from some mouth-breather that doesn't know the difference between
