1.  Introduction

  The IPA III multimedia task force intends to continue the efforts of
the IPA II team, in exploring the realm of communication through multimedia.
We will use the information documented by the previous task force in 
accomplishing our goals.

2.  Specific Goals

  We will take the next logical step in this exploration by creating a 
task-based document that defines the process of creating a multimedia
application.  We will define the following:

  * What multimedia is
    - A general overview of the application and its potential

  * What multimedia contains
    - A general description of the elements that can be used

  * What type of products are suitable to multimedia applications
    - How to decide if the product you are documenting lends itself to using
      multimedia

  * What authoring tool should you use
    - Defines the steps you must take to determin what tools you will use

  * How do you do it
    - Defines the exercises and steps you must take to build a multimedia
      application    

  We will then build a multimedia demo containing an overview of all the 
information documented.


3.  Non-Goals

  We will not include detailed information on using any software tools other
than the one we choose for our demo.

  Any information about multimedia elements we do not use in our demo will
be of a general nature.

  This reply serves as a status report for the task force.

  We began meeting every-other week, and found the initial probing into the 
subject to be quite slow.  We did however define the following:

             What general look the demo will have
             What authoring tool we will use

  We then lost two members of our group to attrition.

  After much trial and error we finally got the tutorial in the software
documentation to work, and were pleased with the potential.

  As we reached the level of development requiring the creation of storyboards
for each topic listed in the action plan, we began meeting every week.

  Individuals have volunteered to write portions of the text, while other 
members have agreed to work on learning the software. 

  The storyboarding is near completion, and much of the text has been roughed
out.  Soon we will begin flowcharting the code for the demo.

      I have no excuse, and I tried real hard to come up with a good one
      too.  I just have not made the time to put together minutes from the
      last 4 meetings, but will summarize them here and now.

      First of all, we have seen a drop in attendance at the weekly
      meetings due to one member being out sick, and the rest of us under
      an increasing work load and rapidly changing priorities.

      We are also seeing a problem in finding the time to do the
      individual work we have committed to, research, writing, learning
      the software tools, etc.

      We have however, made a great deal of progress during the 1 hour a
      week we get together, and seem to have settled into a system of
      accomplishing our immediate goal, that of storyboarding the main
      topics of the demo.

      We have realized the great need to stay focused on one topic during
      the meetings, and to settle for a high-level storyboard for now.  As
      we begin to do the actual code work with Icon Author we will add the
      details as we go along.  We have also developed a standard structure,
      or flow, of the demo, and have determined what portion will be user
      interactive and what will be an automated display.

      Below you will find a list of the main topics and where we stand with
      the storyboarding portion of this effort:

Topics:

    We began the meeting by looking at the main menu, intro topic, list
    pages, and one text page that I created using DECPaint.  This seems to
    have helped everyone doing the writing better see what is needed in the
    way of text.

    Issues:
         Joan suggests we use rags instead of paint - the quality of
         the graphics is better and we can still create .ddif files (the
	 format we will use for the majority of the demo).

         Mark suggests we include an exit button on the list pages - this
	 seems like a good place to provide the user the ability to escape
	 back to the main menu.

         A point was made that in the hierarchy of the demo screens, we
	 should limit the number of "text" screens to 1, but for first
	 drafts use a maximum of 3.  For instance:

	 Main menu (1 pg)
	    First topic (1 pg)
	       Bulleted list (1 pg)
	           Text pages (1 - 3 pgs per bulleted list element)
            Second topic (1 pg)
	    .
	    .
	    .

         The point was also made that when the demo is in automatic mode we
         might be able to insert a pause button to freeze the demo at any
	 time.  This is a back burner issue.

     We then discussed the progress of the text writers.

     Janet provided us with a mind dump containing information pertaining
     to the "Is it for you" module.  This contained very important
     information - some will be used in the demo and some in the document.    

     No other rough drafts were ready at the time of the meeting.

     It was agreed that all first drafts, following the format of the
     script, will be presented at the next meeting on the 15th.

     Jack has begun to learn the Iconauthor animation editor.  The top
     priority applications of animation are the opening "attention getter",
     and the example of animation in the "elements of multimedia" module.
     Other applications will be explored after the completion of the first
     priorities.

Topics:

            Reviewed Mark's first draft of the software tool matrix.
	    - discussed how much detail is needed as the matrix will just
	      server as an example of what one looks like.
            - Mark still needs to write a first draft of his text for the
	      next meeting.

            Reviewed Cindy's first draft of the "elements" section.
	    - Her material is very close and looks very good.  She will now
	      include a few lines for each element discussing "issues,
	      concerns, drawbacks, or cons", however she decides to label
	      them, and try to come up with ideas for an example of each.

            Reviewed Janet's first draft of the "is it for you" section.
	    - Lots of good material, pared down and organized very well.
	      She will continue to polish and have a second draft for the
	      next meeting.
	    - Also discussed the status of her draft for the "welcome"
	      section.  This looked fairly complete at last review.  She
	      will provide us with online versions of both sections for
	      review prior to the next meeting.

	    Joan and I have met twice since our last group meeting to
	    discuss:

	    - Main menu format
	      o  Made lots of progress on this, choosing one style from
	         several discussed
              o  Also discussed the use of icons for each section of the
	         demo, that will first appear on the main menu and then
		 carry over throughout each section, acting as a visual
		 indicator of section currently displayed.  We will ask
		 Jack to create these icons.
              o  Discussed putting the first view of the main menu into an
	         animated file, allowing us to move one section title
		 (from off-screen) into view at a time

            - Initial animation clip
	      o  We reviewed several ideas we had and prioritized them in
	         order of preference and complexity.  We may be able to set
		 a modular approach, meaning for instance; three sections
		 of animation prioritized, if the first one is completed
		 and works well, then we will do the second, and so on

            - The possibility of designing an IPA logo.  This would be a
	      simple graphic shown in the introduction

            Jack was unable to attend, but has agreed to meet with me today
	    or tomorrow to discuss the animated clips Joan and I have come
	    up with.  We will try to provide him with a very rough
	    storyboard which he can then expand on, and do his thing.  He
	    is continuing to work at learning the animation editor.

	    We decided that the next meeting will just be for the writers
	    to review each others second drafts.
	    
	    Joan and I will put that hour to work coding the demo.  We
	    will insert blank pages where the text being written will be
	    inserted when complete.

Topics:

        We had intended to go over the 2nd/final drafts of the demo text,
	but Janet and Cindy had other commitments.  Mark suggested that we
	put all the text up on the wall next meeting, and scrutinize it all
	for overlap.  We will try to do this next Wednesday, even though
	Mark will not be there.  Mark is attending a 4 day training seminar
	on multimedia, the same class I will be attending later in the
	month.

	We then discussed authoring tools.  Jack mentioned that Powerpoint
	does in fact allow the use of subroutines, making user interaction
	possible.

	I spoke with a sales rep at Aimtech (Iconauthor) and got the
	following info:

	       An upgrade license to v5.0 for windows would be just under
	       $3000.00 (a 40% discount) and would include 4 days training,
	       20 modifiable programs, and 1 year technical support.  Even
	       though this is out of the question right now, they are
	       sending me an info pack including a demo on floppy.

	If you consider our task force as a product development team, you
	must ask the following questions:

	   What is our goal - To produce an online how-to application
	   Who are our customers - TNPubs (management)
	   Who are our competition - Anyone who has displayed a multimedia
	                             application to the group
           Will our product be competitive - only if it looks at least as
	                                     good as the competition
	      
        Therefore, unless we can do some very exciting things with
	Iconauthor, I am afraid we stand little chance of impressing the
	group.

	The action plan now is:

	    Jack will continue to learn the animation editor for Iconauthor

	    Joan will continue to work on the Iconauthor coding of the
	    demo, as will I, and she will begin to look at Powerpoint

            Mark will look through the notes files in an attempt to locate
	    an existing animation file

        In summary, we can produce a demo in powerpoint in a matter of
	weeks once all the text is written.  And so in the mean time Joan
	and I will continue to learn Iconauthor for the purpose of seeing
	just what we can do with this tool.

Topics:

            Most discussion revolved around the demise of TnPubs and the
	    future of IPA.

	    We reviewed the basic structure of the module for the demo.

            Discussed Joans great progress on the coding.

	    Discussed the crucial impact Jack has in learning the animation
	    editor, regardless of what authoring tool we use.

            We decided that since Joan is entering text in the code now,
	    and that some of the text is not quite polished, she/we will
	    polish as we enter.
