Questions from Writers

We distributed printed copies of 12 questions and answers and briefly reviewed
them.
ACTION: Dave to copy these questions and answers to the NACLEAF notes file.
Review of Interleaf TPS Use manual
-----------------------------------
Each of the team members received a copy of the first half of the first
technical review of the Interleaf TPS Use manual. This manual describes the NaC
Publications implementation of the Interleaf TPS software.
We discussed some of the comments from team members. We also discussed plans
to have the individual writers attend the weekly meetings to discuss the review
comments.
Casey Ross will attend the next Interleaf Team meeting on 8-March to discuss
review comments on the sections she wrote.
ACTION: Dave to provide Casey with the remainder of the review copies before
the meeting.
Hyphenation Problem
--------------------
John Harrison discussed a problem he had with hyphenation while working on a
DECnet/OSI Phase V document. He had to turn off hyphenation to prevent "DECnet"
from being hyphenated as "DEC-net".
ACTION: John to call Interleaf Software Support Line to discuss this problem.
Spell Checker Problem
----------------------
Jim McAleese discussed a problem with the spell checker not finding spelling
errors when numbers run together with words as a result of a file translation.
ACTION: Jim to send info on the problem to Dave for inclusion in the NACLEAF
notes conference.

Due to Bette Jean's transfer the I-Team will be getting more questions. Dave
discussed his conversation with Dick Sweeney about his progress in replacing
her.
According to Bette Jean, she handled about 5 Interleaf questions each day.
Interleaf Training
-------------------
We discussed the current training options available to writers who are new to
Interleaf (Interleaf tutorial, our catalog course, our catalog/template video,
Office applications Interleaf Basics course, and Interleaf's Document
Management course). We discussed the idea of making a training recommendation
to NaC Publications.
We deferred this for further discussion.
Equation Package
------------------
Steve Jong informed us through mail that he used Interleaf's Equation Package
to create brackets. We discussed the idea of asking Steve to come to a meeting
and show us how it works.

Interleaf TPS Use manual

Dave will send out 2nd half of first tech review on Monday (26-MAR). All agreed
that we could accomplish the review within a week and set a return date of
Monday (2-APR).
Shrinking the window
-----------------------
We discussed the fact that some writers want to shrink the Interleaf window.
ACTION: John Harrison to investigate this and put info into NACLEAF notes file.
Using the Communications Cabinet
----------------------------------
We discussed how the communications cabinet is used and some of the problems
that result from editing and moving files in and out.
ACTION:Janice to write a recommendation for how to best use the communications
cabinet and will put it in the NACLEAF notes file.
Changing I-Team Facilitator
------------------------------
Dave McKiernan explained that due to his other responsibilities he would be
stepping down as facilitator of the I-Team. His replacement will be Dave
Sciuto starting next week.

GUI Review

The following I-Team members returned their GUI drafts with comments today:
Mike Quinn, Kitty Niles, and Gary Knighting. John Harrison and Jim McAleese
returned their comments at an earlier date.
Dave informed the I-Team that the GUI final review is scheduled for April 23.
Every member of the Team, as well as an editor (Janet Gubbay?), an artist
(Jack Wickwire), and Kathleen will review the GUI and return comments to
Casey Ross. Casey has been chosen to complete the work on the book.
Notes Files
----------------------------
The team generally felt that the organization was using the Notes files to
find solutions to Interleaf problems. The team arrived at this conclusion
because individuals have commented on how they found answers to question in
the Notes file and because fewer individuals are seeking help directly from
I-Team members.
Janice agreed to put questions and answers in the Notes file for anyone who
does not want to add the note themselves.
Making Overheads
----------------------------
Janice will put a note into the NACLEAF notes file detailing where the
Overhead Template resides.
Deleting "Figure" from TOC
----------------------------
Kitty will put a note into the NACLEAF notes file explaining how to
delete "figure" from the TOC without deleting every occurrence of figure
as in the word "configure."

Interleaf Training for New Writers
----------------------------------
Janice will discuss the ITeam recommendations for Interleaf training with
Kathleen Warner. Our recommendations are that writers use the Tutorial
that is provided with Interleaf software for their initial exposure. Then
they could take a class that deals with some of the more advanced features
that we use -- catalogs and books -- from Interleaf.
Performing a Search and Replace on a Typeface
---------------------------------------------
Mike Quinn will put a note in the NACLEAF notes file explaining how to do a
search and replace on a typeface or a font type, for example searching all
occurrences of a text string that appears in bold and changing it to
italics. He will refer to the Interleaf Documentation, Volume 2, page 84.
This is done through the find submenus.
Bug in Preface Catalog
----------------------
Jim found a bug in the Preface catalog. In the alert:note component, the
text should be in all caps instead of initial caps. Janice will try to fix
this.
Trademark Symbols
-----------------
Jim will put a note in the NACLEAF notes file explaining how to put
trademarks and registered trademarks into text.

Due to the low number of questions received by team members, I-team
meetings will be held monthly until such time as the number of
questions increase.
Of team members, Kitty Niles is receiving the greatest number of
questions at the Taylor Road Facility. The team expects that questions
will increase as new writers and editors are added to T and N
publications.
A proposal suggesting that the Iteam create a course covering basic and
T and N-publications-specific Interleaf concepts will be discussed at
the next meeting.
The next Iteam meeting will be in the Marblehead C.R. on June 28.

Expanding the Goals

The group agreed to start fielding questions about Document as well as
Interleaf to better serve the writing group and become more of an authoring
tools team. Dave sent mail earlier stating that the "I" in I-Team now stood for
"Information."
Notes File
__________
The NACLEAF notes file is still the best place to post questions and answers
about writing tools. Remember to preface the title of the note with DOCUMENT:
to distinguish it from Interleaf.
Teaching Interleaf
__________________
The group talked about teaching Interleaf and agreed that the original charter
was still applicable -- teaching is a non-goal. However, we agreed to think
about offering a 1-hour specialized session with any new writer who has
completed the tutorial and is familiar with the use manual.
Publicity
_________
We agreed that if new issues, tips, or other hints warranted a small
presentation at a writer's monthly meeting, we would provide it.
Dave agreed to explain the new and expanded role of the I-Team to the extended
management staff meeting.

Tools Expert

Karl joined us for the first time and explained his role as the tools expert.
We explained how the I-Team functions and what to expect from us. We came to
the following conclusions:
o I-Team is the first group people would come to for Interleaf questions
after consulting the NACLEAF notes file. These would be questions that
could be answered within 5 minutes. After that, people would go to Karl.
o I-Team would also provide similar services for DOCUMENT.
The following duties were part of Karl's responsibilities:
o Maintain Interleaf templates and catalogs
o Maintain Document doctypes
o Contact systems and operations people
o Moderate NACLEAF notes file (Janice will add him as a member)
Training
________
Jim brought up the subject of teaching new hires for about 30 minutes to one
hour in their office after they have taken the Interleaf tutorial and read
T and N Interleaf Use. We agreed to provide this service.
NACLEAF Notes File

Janice will stay on as a co-moderator after she passes moderator privileges on
to Karl. NACLEAF will become more of a tools notes file as we start adding more
Document material and will address any other tools that writers need to use. We
defined tools as anything the writer has to use to get the publishing job done.

Dave Sciuto wanted to identify people who can give informal
training in SDML and Interleaf. He asked for a list of names
of people who would be willing to give an hour for specific
questions on SDML or Interleaf, and that the list be made
available for new people T and N Publications. Karl volunteered
to maintain the list. As agreed earlier, people should have done
the Interleaf tutorial and consulted _Interleaf Use_ before
looking for help.
CUP Tools Book
____________
Jim passed a copy of the CUP Tools book to Karl to evaluate. The
tools are mainly DOCUMENT-oriented. Karl will install on WORDY
any tools that look useful.
Problems Handled This Month

Spell check in tables: it appears that the spell checker does not
look any further than the current cell when you tell it to
continue. Jim will look into it.
Spell check "Next Error" wish list item: Interleaf spell checker
should have options to "ignore all further instances" and "correct all
further instances"
Change bars, global delete: looking for an easy way to delete all
change bars. Mike will look into the "select range of text, then
Props" approach.
Initial indents, negative indents: it was brought up that to use these
items on the component property sheet requires some mathematical
skill.
DOCUMENT /y qualifier: Karl is working on the CUP doctype.
DOCUMENT Nested literals problem: prevented a chapter from
building.

Karl talked about the idea of putting together some "brown-bag" lunchtime
seminars which focus on specific technical topics. They may include
presentations on Notesfiles, VTX, Mail management, or tools topics.
People with ideas or topics should forward their suggestions to Karl for
consideration. Also, anyone interested in making a presentation should contact
Karl.
CUP Tools Book
____________
Jim distributed a copy of the Interleaf section of the CUP Tools book for the
group to evaluate. Karl and Janice will mark up the text and add any T&N
specifics that they deem useful.
Interleaf-to-Bookreader

Karl gave the group an update on the Interleaf-to-Bookreader conversion
program. The software that Interleaf shipped is not yet working, but Karl will
let the group know when it is running and members can test books against it.
Problems Handled This Month
_______________________
Rikk found that the instructions for creating a PS file in the Interleaf Use
manual are incomplete. He will talk to Dave to discuss the book's ownership and
will correct and redistribute the corrected page.
Rikk and Jim discussed creating a note on NACLEAF that addresses
corrections and suggestions to the T&N Interleaf Use manual.
Janice had a corrupted cover document in a book that caused Interleaf to crash
every time she tried to create a PS file. She saved the file and will pass it
along to Karl for inspection. Janice will also post this information in the
NACLEAF conference.
Karl told the group that disk usage has improved slightly across most of
the disks. However, the disks have to be taken off-line one at a time to be
defragmented. Publishing a schedule with enough advance notice should keep the
process from disrupting any jobs.

Interleaf-to-Bookreader

We spent the meeting discussing the converter effort because most of
the the people testing the software are I-Team members.
Claudia Gere attended the meeting to discuss starting the catalog effort for
the Bookreader files. It was agreed that creating the catalogs would be a
premature effort at this point and should wait until the software is more
stable. Claudia will meet with Mike Quinn and Janice Sahagian to discuss some
of the specs required for on-line output and to verify what can be handled
using catalogs.
Karl is working on getting a process in to place by next week for a test plan
for the converter software. He will distribute the test plan to the I-Team for
review. Karl is also working on determining how much the final version of the
software will do versus how much work the writing group will have to do to
convert the files for Bookreader.
It was generally agreed that Interleaf should provide converter software that
does not require the use of two sets of source files on Interleaf.

Rikk created a note on NACLEAF that addresses corrections and suggestions to
the T&N Interleaf Use manual.

Karl informed us that he presented his test plan to Interleaf last week.
Interleaf is now looking at the problem files and screen captures we supplied.
Karl said to expect more information about an updated version of the software
soon.
Karl also informed us that Interleaf V5.0 is coming, and it may present some
opportunities for the group to do some prototype testing.
Training

Karl took the action item to talk to Dave Sciuto about coordinating a training
plan that would include small tutoring sessions by I-team members.

Janice worked on some footer problems that Judy and Renee were having.
They seem to be worked out.

The I-Team welcomed Matt Roch as a VAX DOCUMENT expert and
a new Interleaf user.
Interleaf-to-Bookreader

Karl told us that a new version of the Converter software has
arrived, but that there are both continuing and new problems with
it. A new tape is to arrive next week. Also next week, Karl and
Interleaf are to agree on a testing and acceptance schedule.
Karl also reminded those who will be testing the Converter that
the source and output files must be made available when a bug is
reported.
Mike reported on the results of his DCL SEARCH on the strings
"Overlay" and "Underlay" in books stored in the CMS libraries. He
said that although the number of Overlay and Underlay frames is
large, the number of ways in which they are used is much smaller,
so a relatively small number of workarounds should handle most
instances.
TaN Interleaf Use

Rikk said the update to our internal Interleaf Use book was
complete, and that the changes pages are available near the
TaN Pubs mailboxes.
Communications Cabinet
_______________________
Janice reported on the condition of the communications cabinet.
Basically, it is a mess. The hierarchy of drawers, folders, etc,
has often been ignored, and the indiscriminate moving of icons has
actually locked people out of some documents.
Janice took the action item to devise a new plan for managing the
communications cabinet.

Karl told us that he is receiving updated software every 2 or 3
weeks, and the last bug tape went back to the programmer on
26 March.
Chris Hart has been working with Steve Jong on testing the
converter with DECmcc documents. Effectivity and small page size
still needs to be tested.
Karl said we still need acceptable converter documentation from
the programmer.
Karl said there may be problems converting very large documents,
such as the Buyer's Guide.
Mike will make sure that the Art group knows that encapsulated
PS files do not make it through the converter.
Communications Cabinet

Janice sent her proposal for managing the communications cabinet
to members of the 3KN extended staff and received comments on it
from Don Skarzenski. She will present the proposal at the meeting
of the extended staff on Monday 1 April.
Questions Handled

Mike answered the question "how do I get the PS filter to appear in
the Custom menu?" This question is addressed in the TaN Pubs Interleaf Use
book.
Mike answered the question "how do a make a single '1/4'
character?" The PostScript fonts have no single character for
'1/4'. Janice suggested using a superscript '1' and a subscript '4'.
Jack noted that the Interleaf documentation omits description of
the Table pop-up menu item Join Cells.

Karl said that font mapping and catalogs still need to be done. He is
looking at automating the ASCII-save procedure (one of the steps in
converting to Bookreader).
Encapsulated PostScript files are a problem not only for the converter
but for Bookreader, too.

Kathy Peterson, the new account rep from Interleaf, sent Karl
information on Smartleaf, Cloverleaf, and Network License.

Interleaf v5

Karl is testing v5 on his workstation. The Iteam will take an
extraordinary meeting next week to get a demo of v5 from Karl and to
begin planning for migration from v4 to v5.
Training

Janice took an action item to draw up a flow chart that will outline the
I-team's recommended steps for learning Interleaf.
Interleaf-to-Bookreader Converter

Karl gave training to Dave McKiernan's team on the Interleaf-to-
Bookreader converter this month.
