11.0. "Training team charter and meeting minutes" by ORION::MCKAY (The Real McKay, 381-2215) Thu Feb 01 1996 15:57

NCC Training Implementation team charter:
________________________________________
To plan for and offer training interventions to address the first five needs
identified by the 2KP Training Focus Group.

Team members:
------------
	              	Jim Carrig
	              	Cindy Fleming-Wood
			Evelyn McKay	(team leader)
			Joanne Roberts
			Roland Toscano
			Pat Winner

Team meetings:
-------------
We meet in LKG every two or three weeks, depending on the current
action list and deliverables. Meeting minutes will be posted as replies
to this note. To read previous meeting notes, contact Evelyn McKay on
node ORION.

Training Calendar:
-----------------
Our main deliverable is a calendar of training events and
informational sources geared to the particular needs of NCC. We
arrange for the creation of some of these events and sources; others
already exist and we merely consolidate details of their location or
availability.

We deliver this calendar to all CC members on a quarterly basis.
The latest calendar can be found in ORION::USER2:[NSCC_TRAIN.PUBLIC].
The file name follows the format of Q*_CALENDAR_FY*.TXT.

        Training Implementation Team Meeting Minutes--1/23/96
        _____________________________________________________

        WHO WAS THERE

Present: Jim Carrig, Evelyn McKay, Joanne Roberts, Roland Toscano
              Absent: Cindy Fleming-Wood, Pat Winner

        AGENDA COVERED

o Discussed how we want to handle additional communications
(additional to the quarterly issue of the calendar, that is)
o Discussed the status of the new job aids program and next steps
o Brainstormed the upcoming training needs survey
o Confirmed next meeting and various action items

        DECISIONS MADE

o We decided that the survey should be as simple as
possible. We'll ask just 3 questions: one on current
needs, one on anticipated needs, and one on preferred formats.
This will help us ensure that our Q4 offerings are on target.
We'll try to get time on the next NSCC meeting agenda
to share survey results and resulting actions.

o We decided to continue to issue the calendar on a
quarterly basis. We already have ideas and new items
to include in the Q4 calendar (and will keep track of
them.) If important new things come up, we can
just send brief messages out to NCC in the interim. Meanwhile,
it's nice to know that the Q3 calendar is being used.

o We'll make the job aids and any other files for
		 sharing available on ORION::user2:[nscc_train.public]
and also post a pointer to them in the new NSCC notes
conference. We'll store whatever file types people
send, either TXT or PS. People developing job aids at the
moment include Cindy Fleming-Wood, Kathy Icenogle, Jack
Downing, and Donna Micozzi. Lyn Higgs and others are
developing job aids for the PATHWORKS group--we don't know
yet if they will be too project-specific for all NCC.

o On the job aid template, we decided that including
graphics can be encouraged but left totally optional.
We also decided to encourage the use of the template
but not be too strict about acceptance. We can tighten things
up a bit later. The first order of the day is to get some job
aids ready and start some momentum.

o The schedule for the job aids is to work towards
announcing them on February 12th, which means having enough
of them completed and tested by February 5. (Joanne
		may fine tune this schedule.)

        ACTION ITEMS

ALL Let Joanne know if you can help with
the testing of the new/existing Job Aids.

				Review survey promptly; when it's
issued, training team members need to
				complete it too.

If you have no other actions items,
look through this list and see if there are
tasks you can pick up for someone else!

CINDY Adapt job aids to the template as best you can.
Joanne has a deadline for announcing them etc.
				(Thanks for doing them--the graphics
				look great!)

JOANNE Update job aids template with slots
				for author's name and restrictions.

				Coordinate offers from CC members
to write new job aids and/or make others
				available.

				Call contributors with deadline date
and any comments for updates etc.

ROLAND Once the survey is final, issue it to NSCC
using the personal email program on DEMON.

				Continue testing draft job aids.

		EVELYN Write and issue minutes--done.

Draft survey and send to team for review.

Set up new directory in NSCC_TRAIN
for job aids that have been tested.

Write Readme.txt for job aids titles
			  	and filenames.

Ask for time on next NCC meeting.

Draft an announcement and invitation to
volunteer to write a new job aid; send
it to Joanne for filenames. Distribute
				to team for review.

STATUS OF SW AND BOOK ORDERS

o Our two copies of Frame Version 5.0 just arrived. I
will announce and issue the software on a library loan
style. The eval kit is still here (in SHR) but will
		need to be returned soon.

o Both copies of the new WinHelp Authoring Guide w. CDROM
are in use. Several additional copies are on order for
		training purposes.

IDEAS TO STORE FOR Q4 CALENDAR
		Terry Sherlock's Intro to the Internet video;
advertise tools guides/booklets written by Jim Carrig,
Jack Downing, and maybe others; include Word support
		people in Dave Popp's CCC as hotline resources;
include Pat Soerl as tutor/hotline support for Frame.

        NEXT MEETING AGENDA ITEMS

o Discuss the survey results and decide on resulting actions
o Review progress with Job Aids program and decide
		 next steps

        NEXT MEETING
Tuesday, February 13, in the [TBS] room in LKG, 2:30 - 4:30PM

        Training Implementation Team Meeting Minutes--2/13/96
        _____________________________________________________

        WHO WAS THERE

Present: Evelyn McKay, Roland Toscano, Pat Winner
Absent: Jim Carrig, Cindy Fleming-Wood, Joanne Roberts

        AGENDA COVERED

o Reviewed the training needs survey
o Discussed the status of the new job aids program and next steps
o Discussed the possibility of rotating team membership
o Confirmed next meeting and various action items

	SURVEY RESULTS

We got 34 survey responses--a pretty good percentage. The results
confirm that the next batch of training we should concentrate on is
for the WWW. Also, the survey provided much detail of the
PC authoring tools we need to continue focusing on. We have
many individuals with unique training needs but also several clear
needs for larger groups of people.

        DECISIONS MADE

o Decided to follow through now with training on top needs
	  from recent survey:

		- SES Word Templates (Peter LaQuerre, 1/2-day class)
		- Frame/SGML (external expert)
		- WinHelp (Jack Downing? one or more 1/2-day classes)
		- Doc-to-Help (Jim Carrig? one or more 1/2-day classes)
		- RoboHelp (Bob Govoni? 1/2-day class)
		- PC Environment (Job aids, as planned)

o We'll address the WWW training needs to start in early Q4.

o Decided to communicate to NCC now on what we'll offer as a result
	  of the survey.

o Decided not to attend to unique training needs that only one person
asked for. We do not have the time. Individuals with a
unique training need will be advised to pursue their own solution.

o Decided to encourage but *NOT* police the use of the job aids
template. Also, decided that the author needs to submit a
tested job aid. We can offer ourselves as possible testers
but leave the author responsible for testing. We think
this will generate a faster flow of job aids for CC members to use.

*This will be in early May. Team members need
