Environment - VMS 5.5-2, ALL-IN-1 IOS 3.0-1


I have a customer that is getting ready to set up archiving on a ALL-IN-1
3.0-1 system.  She has been testing this on her account before she turns it
loose on all of her users.  She set up three folders TEST, TEST FOR ARCHIVING,
and TEST FOR SECOND ARCHIVING.  She selected the documents in TEST FOR 
ARCHIVING and TEST FOR SECOND ARCHIVING.  She then did a XADL.  This
put the documents in the PENDING ARCHIVE folder.  She then ran ADS that
night.   She set herself up in a department called "SYSTEMS" so she
included documents only in that department.   Enforced Archive was set
to "Y".  Include/Exclude was set to "E".  Archive after was set to 9999 days.

When ADS ran, it archived documents in the folder "TEST" folder as well
as the files that were in PENDING ARCHIVE.  It appears that ADS picked up
all folders with TEST in them.  

The previous 24 documents in TEST were also archived.

Has anyone out there seen this problem?   I can remember a problem in 2.3 or
2.4 when similar folder names would not be archived.  This seems to be the
opposite of that situation.  Any help on this would be greatly appreciated.

    Hi,
    
    If the user types AUA (automatic archiving) what does the user see?
    Maybe the folder TEST is on the list. If not that another possibility
    is that when scheduling ADS the folder TEST was added to the list at
    that stage.

    	    I had the customer check AUA and sure enough "TEST" was on the
    list.  She tried the archiving operation again and all was well.

    Customer has called back.  This time she set up archiving to run
    on all users.  Left the Include Folders:  and Exclude Folders:
    blank and said to "E" exclude all other folders.  ADS archived 
    every document for every user until it filled up the archive area.
    
    The time to archive was 9999 days.
    
    ANY IDEAS???

    Any customisations?
    
    Any site versions of OA$DO:ARC*.SCP ?
    
    Is the schedule record still there? Type
    
    	FORM SM_ADS_SCHEDULE
    
    and use the FIND key to find the record for the date/time (in NBS
    format) of the ADS schedule. On this record check:
    
    The number of days -  was it really 9999?
    
    The enforce archiving flag - should be Y or N
    
    The include/exclude flag - was it really "E"?
    
    Also there should be filenames in OA$ADMIN for the include & exclude
    lists. List these files to check that they really are blank.

    Hello Stuart, more information from customer:
    
    - no customizations to Archiving.
    - no site versions of oa$do:arc*.scp.  Only place they are is
      [ALLIN1.DO_ENGLISH] and [ALLIN1.DO_SHARE] and are dated 3/12/92.
    - The schedule record for the job was still available.  The number
      of days was 9999 and the enforce archiving flag was Y.  The
      include/exclude flag was E.
    - When she typed the files in OA$ADMIN - all she saw was a "1".
    
    
    Any help would be appreciated....

    Hi,
    
    We've had a look at this setup, and it looks like the schedule
    parameters are OK, and should not have archived everything. If this
    statement is correct then we need to look at the per-drawer automatic
    archiving instructions.
    
    On a per-drawer basis the user can type AUA and there is another
    include and exclude list, plus an I/E flag, and most importantly an
    "Archive After nnn days" number.
    
    Could you go to any drawer that has the problem and see what these
    parameters are set to. The problem could be caused by the flag being
    "I" here and the number of days being small.

    	Yesterday it dawned on me that the customer had probably not
    used archiving since upgrading from V2.3 --> V2.4 and now that she
    was at V3.0 she wanted to start.  So I had her check the users
    AUA and sure enough the include/exclude was set to "I" - the old
    V2.3 problem. 
    
    	Now, we know that is her problem now.  Is there anyway she can
    write a script or something to change the "I" to "E"?  I am not
    sure where that is stored...  I thought it was in the user.pst -
    but cannot find it in mine.  Can you help?

    Hi,
    
    The following little script will change all the drawers to have the "E"
    flag.
    
    for partition with .arc_include eqs oa$y do -
      get #unique_name = .unique_name\\-
      write change partition unique_name = #unique_name, arc_include = oa$n
    .exit
    
    The I/E flag is held in the partition file as a Y/N flag, which is why
    the oa$y and oa$n are used above. I think it used to be in the PST in
    earlier versions.
