841.0. "Archive and delete user account leaves documents in Archive" by GIDDAY::SETHI (Man from Downunder) Wed Jun 10 1992 04:40

    G'day All,

An ALL-IN-1 version 2.4 archive question.

Take the case where a user has archived his documents and leaves. The
system manager deletes the account and no warning is given that the
    user has archived documents.

When the System manager looks at his archive area he finds for example

    Directory USER$DISK:[ALL-IN-1_ARCHIVE_1]

    TESTSUNI1159000001.ARCHIVE;1
    TESTSUNI1159000001.ARCHIVE_BODY;1

    1. Can the System manager just delete the files ?
    2. Does Version 3.0 warn the SM that the user has archived documents ?
    3. If the SM wanted to retrieve the above documents how can he do this
for the deleted user account ?

A customer wanted to take advantage of this feature as follows

When a user leaves want to be able to archive documents and then delete
account. Would still like to access archived documents after account is
    deleted.

IMHO I don't think that Archiving was developed for the above
    requirement.

    Thanks

    Sunil

    Yes

    No

To do what you want in V3.0 a better strategy than using archiving
would be to refile the documents to another drawer. The user can do
this him/herself or the Manager can do it before deleting the user.

    Cheers

    Sunil,

> 1. Can the System manager just delete the files ?

If they are not needed: yes.

> 2. Does Version 3.0 warn the SM that the user has archived documents ?

No. They are left in the archive area. Small customisation
    might do the job.

> 3. If the SM wanted to retrieve the above documents how can he do this
for the deleted user account ?

There is an ALL-IN-1 function ARCHIVE_CREATE_POINTER.
It creates a new document entry in the ARCHIVED DOCUMENTS
folder of the ALL-IN-1 active account. You can restore
the document with the normal RAD option.

    The ARCHIVE_CREATE_POINTER function is there.
I don't know the reason why there is no menu interface.

Watch out for the syntax of ARCHIVE_CREATE_POINTER. IN 3.0
    its something like:

    <ARCHIVE_CREATE_POINTER "ARCHIVE$AREA_000001:JANUEIDLJH0.ARCHIVE"
